Attendee Cancellation Policy, Protocols & Waiver Information
Cancellations
Cancellations will be accepted from registrants until 11:59 p.m. August 10, 2025 and payments will be refunded to you. Cancellations received after August 10, 2025 will not be refunded.
No-shows will not receive a refund. All cancellation requests must be submitted in writing to Karina Schnieders, MHCA Education Assistant at karina@mohealthcare.com or via fax: (573) 893-5248. MHCA is not responsible for airfare, hotel, or other costs incurred by participants in the event of program or registration cancellation.
The Event is being planned by MHCA as an in-person event, but MHCA reserves the right, at its sole discretion, to cancel or change the Event if MHCA believes it is appropriate to do so because of unforeseen risk to the Event and/or attendees due to COVID-19. If MHCA should cancel the Event, you shall be entitled to receive a refund of your registration fee and any advance payment for meals as your sole remedy. If MHCA should cancel only specific activities at the Event, you shall be entitled to receive a refund of any advance meal payment you made related to the cancelled event as your sole remedy.
Important Payment Information
Please note that full payment is required prior to the MHCA Annual Convention & Trade Show in order to secure your attendance. Access to the event will not be permitted unless payment has been received in full.

ADA Accessibility & Special Dietary Requests
For MHCA to ensure compliance with the Americans with Disabilities Act, anyone with special needs or dietary concerns should notify MHCA in writing, no later than August 11, 2025. Please send your written request to Michelle Walters at the Association office or e-mail to michelle@mohealthcare.com.
Photograph & Media Policy
By registering for and/or attending this conference, you acknowledge and agree that photographs, video, and other recordings taken by MHCA or parties acting on behalf of MHCA during the conference may be used by MHCA in any media now known or later invented for any purpose related to MHCA’s mission, including educational, promotional, and awareness-related uses.
COVID-19 Health & Safety Protocols
MHCA, Branson Convention Center and Hiltons of Branson aim to follow Taney County (MO) and state government mandates and recommendations, as well as guidance from the Centers for Disease Control (CDC) and other federal agencies as they relate to COVID-19, for business meetings and special events (the “Precautions”). Additionally, MHCA requires that anyone who has experienced COVID-19 symptoms, tested positive for COVID-19, or been exposed to a COVID-19 positive individual within the last 14 days prior to attending the Event should stay home to avoid the risk of infecting others. MHCA recommends that all attendees wash their hands frequently for at least 20 seconds throughout their time at the Event and follow any directional signage to walk with the flow of traffic in specified indoor, public common areas. Despite these requirements, MHCA acknowledges due to meeting space design, room configuration, attendance and attendee behavior, physical distancing may not always be maintained. Furthermore, because MHCA, Branson Convention Center (the “Center”) and Hiltons of Branson (the “Hotel”) do not control the behavior of meeting attendees, neither MHCA, the Center nor the Hotel assumes any responsibility with respect to potential exposure to COVID-19. To participate in the Event, MHCA requires that all attendees agree to the following Acknowledgment, Release, and Informed Consent. In addition, MHCA requires all attendees to adhere to any additional federal, state, or local health and safety standards, as well as any health and safety standards by MHCA, the Center and/or the Hotel that may be implemented after you register, up to and through the end of the Event.
Acknowledgement
You acknowledge that there is a risk of COVID-19 exposure in any public place where people are present, that MHCA cannot prevent this risk, and is not responsible for such risk of infection to any person who chooses to attend the Event. You further acknowledge that COVID-19 is highly contagious and by registering for the Event, you voluntarily assume that risk you may be exposed to or infected with COVID-19 by attending the Event and that such exposure or infection may result in personal injury, illness, permanent disability, and death. While the Center and the Hotel have employed preventative measures as recommended by the CDC, the risk of contracting COVID-19 cannot be completely eliminated, and your voluntary participation in the Event inherently involves the use of public space and interacting with other people. MHCA requires that anyone who is experiencing COVID-19 symptoms or has been exposed to a COVID-19 positive individual within the last 14 days prior to their attendance, stay home to avoid the risk of infecting others. MHCA reserves the right to remove registered meeting attendees who do not adhere to stipulated mask and physical distancing guidelines from its Event. MHCA reserves the right to change and update its meeting health and safety standards and guidelines according to updates provided by the CDC, Taney County, the Center or the Hotel leading up to and through the end of the Event. You acknowledge all the health and safety information outlined above as a voluntary meeting participant.
Release
As a voluntary meeting attendee, you acknowledge that you derive personal benefit from your attendance in-person at the Event and are aware of and assume the risks of COVID-19 exposure, and willingly engage in the Event. In consideration for the Precautions taken by MHCA to reduce risk of possible exposure to COVID-19 and for participation in the Event, you, both in your individual and personal capacity and on behalf of your employer, together with each of its officers, agents, employees, servants or other representatives (“Releasors”) hereby knowingly and voluntarily RELEASE AND FOREVER DISCHARGE MHCA, the Center, the Hotel, together with the officers, directors, agents, employees, servants or representatives of each (the “Releasees”) of and from any and all liability, claims, suits, actions, causes of action, cross claims, counter-claims, compensatory damages, liquidated damages, punitive or exemplary damages, other damages, claims for costs and attorney’s fees, or liabilities of any nature whatsoever and demands of whatever kind or nature, either in law or in equity, for or because of any illness and injury Releasors might incur from unintended exposure to COVID-19 while any Releasor is at the Event and because of any negligence or fault of any of the Releasees arising directly or indirectly from the Event.
Informed Consent
By registering for this meeting, you acknowledge and understand the following: Your in-person attendance at the Event includes possible exposure to, and illness from, infectious diseases, including but not limited to COVID-19. While particular rules and personal discipline may reduce this risk, you knowingly and freely assume all such risks associated with the Event, even if arising from the negligence, fault or conduct of any kind on the part of any of the Releasees.
BY ATTENDING AND/OR PARTICIPATING IN THE MHCA CONVENTION & TRADE SHOW EVENT, YOU ARE DEEMED TO HAVE GIVEN A FULL RELEASE OF LIABILITY TO THE RELEASEES PARTIES TO THE FULLEST EXTENT PERMITTED BY LAW.
